What Is CAFM? Computer-Aided Facility Management Explained

CAFM stands for Computer-Aided Facility Management. It is software that gives a facilities team one system of record for its buildings — the asset register, planned and reactive maintenance, work orders, contractors, space, and compliance evidence. The point of a CAFM system is that everything about a property portfolio lives in one place instead of across spreadsheets, WhatsApp groups and a filing cabinet.

What a CAFM system actually does

Most CAFM platforms are built around the asset register. Every chiller, lift, fire panel, AHU and pump is recorded with its location, warranty, service history and criticality. Once that register exists, everything else hangs off it.

  • Work order management — raising, assigning, tracking and closing reactive jobs with photo evidence
  • Planned preventive maintenance — recurring schedules generated automatically from asset data
  • Contractor and SLA governance — response and resolution times measured per vendor, with penalties where contracts allow
  • Inspections and compliance — HSE, fire, and statutory checks captured on mobile with a defensible audit trail
  • Space and occupancy — floor plans, allocations and utilisation
  • Inventory and spares — stock levels tied to the assets that consume them
  • Reporting — cost per asset, backlog, first-time-fix rate, SLA attainment

Who uses CAFM

Two groups buy CAFM for quite different reasons. Property owners and developers use it to hold their service providers to account — they want visibility of what was done, when, by whom, and whether the contract was met. Integrated facility management (IFM) providers use it to run their own delivery across many client sites, and increasingly because their clients now demand a system they can log into.

Inside those organisations the day-to-day users are FM managers, maintenance supervisors, technicians on mobile, helpdesk operators and, in larger portfolios, a dedicated CAFM administrator or CAFM operator whose job is to keep the asset data and schedules accurate.

CAFM, CMMS and IWMS are not the same thing

The three terms overlap enough that vendors use them loosely, but the scope differs. A CMMS is maintenance-first — assets, work orders, spares, technicians. CAFM is broader: it takes in maintenance but adds space, occupancy, soft services and the wider facility operation. IWMS is broader again, extending into the real estate lifecycle — leases, capital projects, portfolio strategy and sustainability reporting.

In practice most GCC facility teams need CAFM. A pure CMMS leaves out soft services and space; a full IWMS is usually more system than a single portfolio requires, and costs accordingly.

What matters in the UAE and wider GCC

Regional requirements shape the choice more than most global comparison sites acknowledge. Owners' association and jointly-owned-property reporting, Dubai Municipality and Civil Defence inspection records, DHA and DOH audit readiness in healthcare, and Arabic-capable interfaces for technician-level users are all common requirements that a system designed elsewhere may not cover.

The other regional reality is the service-provider model. A large share of GCC buildings are maintained by an appointed FM contractor rather than an in-house team, which makes vendor SLA measurement and penalty calculation a first-class requirement rather than a nice-to-have.

Is CAFM software worth it for a small portfolio?

It depends less on the number of buildings than on the number of assets and the compliance burden. A single hospital or a mall justifies CAFM easily; a handful of small commercial units with a light maintenance load may not. The practical threshold is usually when spreadsheets start losing work orders or when you cannot evidence compliance on demand.
