Planned Preventive Maintenance

PPM Full Form in Maintenance: What PPM Stands For

Definition

The full form of PPM in maintenance is Planned Preventive Maintenance, often written Planned Preventative Maintenance in UK usage. It means servicing equipment on a fixed schedule, before it fails, rather than waiting for a breakdown. In facility management contracts across the UAE and Saudi Arabia, PPM is the scheduled side of the work, as opposed to reactive call-outs.

Each word in the acronym, unpacked

This page sticks to the term itself. For how a PPM schedule is built, what ratio of planned to reactive work to aim for and why PPM evidence matters to owners, see the main planned preventive maintenance entry.

Read word by word, the acronym describes when the work happens, why it happens and what it is. Taken together, the three words separate PPM from every other kind of maintenance.

  • Planned: the task is scheduled and resourced in advance, with a due date, a trade and a checklist, rather than fitted in when someone has time.
  • Preventive: the purpose is to stop a failure happening, or to catch deterioration early, rather than to repair something that has already broken.
  • Maintenance: the work itself, from inspecting and cleaning to testing, lubricating, calibrating and replacing wearing parts such as filters and belts.

Spellings, and other meanings of PPM

Preventive and preventative mean the same thing here. UK documents, including SFG20, tend to use preventative, while American sources and many GCC tenders use preventive. Both abbreviate to PPM, and a contract or CAFM system using either spelling is describing the same work.

Outside maintenance the same three letters mean other things, which is why a search for the full form returns mixed results. In a maintenance contract, a technician's job card or a CAFM screen, PPM always means planned preventive maintenance. Elsewhere you may see:

  • Parts per million: a concentration unit used in water treatment, pool chemistry and indoor air quality readings such as CO2. An FM team can meet both meanings in the same week.
  • Pages per minute: a printer speed rating.
  • Project portfolio management: the discipline of selecting, prioritising and governing a portfolio of projects.

PPM terms you will meet in FM contracts

Once you know the full form, the next hurdle is the vocabulary built on it. These are the PPM terms that appear most often in UAE and Saudi FM tenders, scopes of work and monthly reports.

  • PPM schedule or PPM calendar: the list of tasks for every asset with their frequencies, usually covering a full year.
  • PPM frequency: how often a task recurs, such as monthly, quarterly, biannual or annual, set from the manufacturer's guidance, SFG20, local statutory rules or the contract.
  • PPM checklist: the steps and readings a technician records to show the task was actually carried out.
  • PPM attainment or PPM compliance: the share of PPM tasks completed within their due window, the figure most payment mechanisms are built on.
  • PPM backlog: scheduled tasks that are overdue and still open.
  • AMC (Annual Maintenance Contract): a common GCC arrangement for specialist systems such as lifts, fire alarms or generators, under which a contractor carries out the PPM visits for a yearly fee and usually attends breakdowns as well.

Related maintenance acronyms

PPM is one of a family of maintenance terms. Knowing the neighbours makes it easier to read a maintenance strategy or a tender specification, because each describes a different trigger for doing the work.

  • PM: preventive maintenance. Usually interchangeable with PPM, which simply stresses that the work is scheduled and resourced in advance.
  • CM: corrective maintenance, work done to restore an asset after a fault has been found.
  • CBM: condition-based maintenance, triggered when a measured reading such as vibration, temperature or pressure crosses a threshold.
  • PdM: predictive maintenance, which uses sensor data and trend analysis to forecast a failure before any threshold is reached.
  • RCM: reliability-centred maintenance, a method for deciding which of these strategies each asset should receive.
  • Reactive maintenance: also called breakdown maintenance, the work triggered by a failure or complaint rather than the calendar.

Common questions

What is the full form of PPM in maintenance?

PPM stands for Planned Preventive Maintenance, also written Planned Preventative Maintenance. Both spellings describe scheduled servicing carried out to stop equipment failing.

What is PPM in facility management?

In facility management, PPM is the programme of scheduled inspections, servicing and tests for a building's assets, such as chillers, pumps, lifts and fire systems. It is generated from the asset register and tracked against due dates, and in most FM contracts it is the core deliverable the client pays for.

What is the difference between PPM and AMC?

PPM is the type of work: scheduled preventive maintenance. An AMC (Annual Maintenance Contract) is a commercial arrangement, common in the GCC, under which a contractor carries out that PPM, and usually breakdown call-outs too, for an agreed annual fee.

What is the opposite of PPM?

Reactive maintenance, also called breakdown maintenance: work triggered by a failure or a complaint instead of a schedule. Most FM teams track the balance between the two, because a rising share of reactive work is an early warning that PPM is not working.
