Refund Policy

When and how refunds are provided for Reflexion subscriptions.

This Refund Policy explains when and how refunds are provided for the Reflexion facilities management software ("Service"), operated by Lattice Software Solutions LLC ("Lattice", "we", "us", "our"), Dubai, United Arab Emirates. It forms part of our Terms and Conditions and should be read together with our Payment Policy. By purchasing the Service, you agree to this Refund Policy.

Overview

Because Reflexion is a digital subscription service that is accessible immediately after purchase, refunds are handled as described below. Nothing in this policy affects any statutory rights you may have under UAE Federal Law No. 15 of 2020 on Consumer Protection (as amended) that cannot be excluded.

Subscription Refunds

Monthly subscriptions

Monthly Subscription Fees are non-refundable once a billing period has begun. You may cancel at any time to stop future charges; cancellation takes effect at the end of the current billing period, and you retain access until then.

Annual subscriptions

If you are a new customer on an annual plan and are not satisfied, you may request a full refund within seven (7) days of your initial purchase, provided the Service has not been used beyond reasonable evaluation. After this 7-day window, annual fees are non-refundable, although you may cancel to prevent renewal at the end of the term.

Setup, Onboarding and Implementation Fees

One-time setup, onboarding, or implementation fees are refundable only where the corresponding services have not yet commenced. Once onboarding or implementation work has begun, these fees are non-refundable, except where we have failed to deliver the agreed services.

Renewals

Subscription renewals are charged automatically. To avoid being charged for a renewal, you must cancel before the renewal date. If a renewal charge occurs, you may request a refund within seven (7) days of the renewal date provided you have not made substantial use of the Service during the new period.

Circumstances Where Refunds Are Generally Not Provided

  • Partial or unused portions of a monthly billing period after cancellation.
  • Fees for billing periods that have already started, except as stated in this policy.
  • Dissatisfaction arising from factors outside our reasonable control, such as your internet connectivity or incompatible devices.
  • Accounts suspended or terminated for breach of our Terms and Conditions.
  • Add-ons or third-party services purchased through or alongside the Service, which may carry their own terms.

Refunds Where We Are at Fault

If we are unable to deliver the Service you have paid for, or the Service has a material defect that we are unable to remedy within a reasonable time, you may be entitled to a full or pro-rata refund for the affected period. We will assess such cases fairly and in accordance with applicable consumer protection law.

How to Request a Refund

To request a refund, email info@latticegulf.com from the account holder's email address with the following details:

  • Your account name and registered email.
  • The invoice or transaction reference.
  • The reason for your refund request.

We may ask for additional information to verify your request and process it.

Processing of Refunds

Approved refunds are issued to the original payment method through our payment provider, Network International (N-Genius). Once approved, refunds are typically processed within seven (7) to fourteen (14) business days. The time it takes for the refunded amount to appear in your account depends on your bank or card issuer. Refunds are made in the original currency of the transaction (AED unless otherwise stated). Applicable VAT is refunded together with the eligible amount.

Changes to this Policy

We may update this Refund Policy from time to time. Material changes will be communicated through the Service or by email, and the updated policy will show a revised effective date. The policy in effect at the time of your purchase applies to that purchase.
