Payment Policy

How payments are charged, processed, and secured for Reflexion.

This Payment Policy explains how payments are charged, processed, and secured for the Reflexion facilities management software ("Service"), operated by Lattice Software Solutions LLC ("Lattice", "we", "us", "our"), Dubai, United Arab Emirates. It forms part of our Terms and Conditions. By subscribing to or purchasing the Service, you agree to this Payment Policy.

Currency and Pricing

All prices are displayed and charged in UAE Dirhams (AED) unless otherwise expressly agreed in writing. Subscription prices and plan inclusions are shown on our website and in your order or quotation. We reserve the right to change pricing for future billing periods with reasonable prior notice; price changes do not affect a billing period already paid for.

Value Added Tax (VAT)

Prices are exclusive of VAT unless stated otherwise. Value Added Tax at the prevailing UAE rate (currently 5%) will be applied where required by law. A valid tax invoice will be issued for each payment in accordance with UAE Federal Tax Authority requirements. Where you are a registered business, you may provide your Tax Registration Number (TRN) so it appears on your invoices.

Accepted Payment Methods

Payments for the Service are processed online through our payment gateway provider, Network International (N-Genius). We accept major credit and debit cards and other payment methods supported by the gateway, including Visa, Mastercard, and other card schemes and digital wallets enabled on our account from time to time. Depending on your plan and agreement, we may also accept bank transfer for annual or enterprise invoices. The payment methods available to you are displayed at checkout.

Billing Cycles

Subscriptions are billed in advance on the cycle you select at the time of purchase (for example, monthly or annual). Your payment is due at the start of each billing period.

Recurring Payments and Authorisation

For subscription plans, you authorise Lattice and our payment provider to automatically charge your chosen payment method on a recurring basis for the applicable Subscription Fees, plus VAT, until the subscription is cancelled in accordance with our Terms and Conditions. Your card details are securely stored and tokenised by the payment provider for this purpose; Lattice does not store full card numbers on its own systems.

Payment Security

Card payments are processed by Network International (N-Genius), a PCI DSS compliant payment provider. Sensitive card data is encrypted and handled directly by the gateway. Where supported, transactions are protected by 3-D Secure authentication (for example, Visa Secure and Mastercard Identity Check) to reduce the risk of unauthorised use. Lattice does not have access to your complete card details.

Invoices and Receipts

A receipt or tax invoice is issued by email for each successful payment. Invoices and payment history are also available within your account. Please review your invoices promptly and contact us if you believe there is an error.

Failed or Declined Payments

If a recurring payment fails or is declined, we may retry the charge and will notify you so you can update your payment details. If payment remains outstanding after reasonable notice, we may suspend or downgrade your access to the Service until the amount due is paid. You are responsible for any fees charged by your bank or card issuer.

Late Payment

Invoiced amounts (for example, annual or enterprise plans paid by bank transfer) are due by the date stated on the invoice. We reserve the right to suspend the Service for overdue accounts and to charge reasonable interest or recovery costs on overdue amounts to the extent permitted by UAE law.

Chargebacks and Disputes

If you believe a charge is incorrect, please contact us first at info@latticegulf.com so we can resolve it quickly. Raising a chargeback without first contacting us may result in suspension of your account. We cooperate with our payment provider to investigate disputed transactions and prevent fraud.

Refunds

Refund eligibility and the process for requesting a refund are set out in our separate Refund Policy. Approved refunds are returned to the original payment method through the payment provider.

Changes to this Policy

We may update this Payment Policy from time to time. Material changes will be communicated through the Service or by email, and the updated policy will show a revised effective date.
